Privacy Notice

This notice explains how MAT Managers handles information submitted through this website and the limited founding-pilot version of the Taekwondo Manager AI service.

Pilot notice: This is the operational privacy notice for the controlled pilot. It must be reviewed with the participating school, service providers, and qualified counsel before access is opened broadly or materially new data uses are introduced.

1. Who controls school records

Each participating Taekwondo school controls its student, guardian, staff, program, attendance, agreement, and communication records. MAT Managers processes those records to provide and support the service under the participating school's instructions. Schools should direct families to the school contact shown during enrollment for record-specific requests.

2. Information handled during the pilot

  • School, staff, location, role, and account information.
  • Student and guardian contact details, age or date of birth, membership, attendance, rank, progress, awards, testing, and tournament information.
  • Program applications, selected prices, payment status, school-supplied document versions, consents, signatures, and delivery evidence.
  • Website pilot and contact requests, including name, school name, email, optional phone, city/state, message, and the page entry point used.
  • Support, communication, audit, security, browser, device, and service-log information. The website derives a keyed, non-readable request identifier from connection information for short-window abuse controls.

Payment card and bank credentials are entered with the connected payment provider and are not intended to be stored in MAT Managers school records.

3. How information is used

Information is used to operate the school workspace, complete enrollment, manage class access and memberships, track student progress, support billing and communications, prevent abuse, troubleshoot problems, preserve required records, and improve the pilot. MAT Managers does not sell student or guardian personal information.

4. Children and guardian-controlled accounts

The pilot is designed for a parent or legal guardian to submit and control information for a child. A child should not create an independent account or submit personal information without the school's approved guardian process. Participating schools remain responsible for confirming the guardian relationship and obtaining required permissions.

5. Service providers and disclosures

Information may be shared with providers needed to host the service and website database, process payments, deliver approved email or text messages, notify the MAT Managers team about website requests, generate records, monitor security, or provide support. Information may also be disclosed when required by law, to protect people or the service, or during a properly controlled business transfer.

6. Retention, security, and school separation

The pilot uses school-scoped records and role-based access. Website request records and their notification status are retained only while needed for pilot intake, follow-up, abuse prevention, and operational accountability, then deleted or de-identified under the approved retention schedule. Other records are retained for the operating, contractual, legal, security, and backup periods approved for the pilot, then deleted or de-identified when no longer needed. No internet service can promise absolute security; suspected incidents should be reported promptly.

7. Access, correction, export, and deletion

Families should contact their participating school to request access, correction, a copy, or deletion of school records. MAT Managers will support the school in responding, subject to identity verification, contractual records, legal holds, and applicable law.
